Privacy PolicyOn this page
1.Introduction and acceptance of terms
These Terms of Service (“Terms”) govern your access to and use of the SmithLabs Discord bot (the “Bot”), the website at smithlabs.co.uk (the “Site”), and any related services operated by SmithLabs (“SmithLabs”, “we”, “us”, or “our”) [legal entity name, if different from “SmithLabs”].
By inviting the Bot to a Discord server, interacting with the Bot, or otherwise using our services, you agree to be bound by these Terms. If you do not agree to these Terms, do not use the Bot or the Site.
You must also meet Discord’s own minimum age and eligibility requirements to use Discord and any bot on it. If you add or use the Bot on behalf of a Discord server, you confirm that you have the authority to accept these Terms on behalf of that server and its members.
2.Description of the Discord bot and its features
The Bot provides community and moderation tools for Discord servers. Current and planned functionality includes:
- Server setup and configuration commands (e.g.
/setup) - Informational and help commands (e.g.
/help,/features) - Support and feedback commands (e.g.
/support) - Moderation tools for server administrators and moderators
Features may be added, changed, or removed at any time as the Bot continues to be developed. The most current list of commands is shown in the Discord Bot section of the Site.
3.User responsibilities and acceptable use
When using the Bot, you agree to:
- Use the Bot only for lawful purposes and in accordance with Discord’s own Terms of Service and Community Guidelines.
- Provide accurate information where the Bot requests it (for example, during server setup).
- Not attempt to interfere with, disrupt, reverse-engineer, or gain unauthorized access to the Bot or its underlying systems.
- Take responsibility for any commands issued using your Discord account.
4.Prohibited activities, abuse, spam, and exploitation
You must not use the Bot to:
- Spam, flood, or otherwise abuse Bot commands in a way that disrupts the Bot or other users.
- Attempt to exploit bugs, vulnerabilities, or unintended behaviour in the Bot.
- Harass, threaten, impersonate, or otherwise harm any person or community.
- Distribute malware, phishing links, or other harmful content through the Bot.
- Use the Bot in any way that violates applicable law or Discord’s own policies.
We reserve the right to restrict, rate-limit, or block access to the Bot for any account or server found to be engaging in prohibited activity.
5.Discord account and server responsibilities
You are responsible for maintaining the security of your own Discord account. Administrators who add the Bot to a server are responsible for:
- Configuring the Bot’s permissions appropriately for their server.
- Informing server members that a third-party bot is active, where relevant.
- Removing the Bot from their server if they no longer agree to these Terms.
We are not responsible for actions taken by other users, roles, or bots within your Discord server.
6.Bot availability, maintenance, updates, and service interruptions
We aim to keep the Bot available and reliable, but we do not guarantee uninterrupted or error-free operation. The Bot may be unavailable from time to time due to maintenance, updates, Discord platform outages, or circumstances outside our reasonable control.
We may update, modify, suspend, or discontinue any feature of the Bot at any time, with or without notice.
7.Privacy and data handling
To operate, the Bot is expected to process:
- Discord user IDs, usernames, and server (guild) IDs, to identify who is using a command and where.
- Command input and configuration settings you provide (for example, during
/setup). - Basic usage logs, for debugging and abuse prevention.
[Confirm: does the Bot read or store regular message content outside of commands? Does it use a database, and if so, how long is data retained?]
We do not sell personal data to third parties. If the Bot integrates with any external services (see Section 9), data may also be processed by those services under their own privacy terms.
For full detail on what information we collect, how it is used and stored, and your rights, see our Privacy Policy.
8.Moderation commands and administrative actions
Some Bot features may allow server administrators or moderators to take actions such as muting, kicking, banning, warning, or logging user activity within their own server. These actions are performed at the direction of, and are the sole responsibility of, the server’s own administrators and moderators — not SmithLabs.
We provide the tools; server staff are responsible for using them in line with Discord’s Community Guidelines and applicable law.
9.Third-party services
The Bot operates on top of Discord and relies on Discord’s API and infrastructure. Your use of Discord itself is governed by Discord’s own Terms of Service and Privacy Policy, not by these Terms.
The Bot may also use other third-party services or APIs [list any hosting, database, analytics, or other third-party providers the Bot relies on]. We are not responsible for the availability, content, or privacy practices of these third-party services.
10.Limitation of liability
To the maximum extent permitted by applicable law, SmithLabs and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, revenue, or goodwill, arising from your use of, or inability to use, the Bot or the Site. The Bot is provided “as is” and “as available”, without warranties of any kind, whether express or implied.
These Terms are governed by the laws of [your country/state of governing law — e.g. England and Wales], without regard to conflict of law principles.
11.Changes to these terms
We may update these Terms from time to time. Material changes will be reflected by updating the “Last updated” date at the top of this page. Continued use of the Bot or Site after changes take effect constitutes acceptance of the revised Terms. We encourage you to review this page periodically.
12.Suspension or termination of access
We may suspend or terminate your (or your server’s) access to the Bot at any time, with or without notice, for conduct that violates these Terms, Discord’s own policies, or applicable law, or for any other reason at our discretion.
You may stop using the Bot at any time by removing it from your server.
13.Contact information
If you have questions or concerns about these Terms, please contact us at: [your contact email].
